ChatGPT, Claude, Google Gemini and other LLM's are transforming AI interactions, turning your ideas into detailed responses. The key to unlocking their full potential is here. I'll be sharing the PREPARED framework in this blog, which will be your ultimate guide to effective prompting. Please note, the more information you provide to any generative AI tool, the better response you will receive. The "PREPARED framework" prompts is for sales representatives / professionals.
Persona "Dress your AI for success" Example, Instead of starting with "help me write an email" Try this, "Act as an experienced sales director who has closed over 5 million in SaaS deals. Draft an email to our champion summarizing the business case they can take to their CFO"
For discovery calls "Act as a consultative sales expert who asks insightful questions. Likewise for competitive situations, "Act as a market research analyst who specializes in competitive intelligence"
Request "Crafting a clear call to action"
Example, Instead of "Help me with a follow up email" Try, Draft a follow up email to a prospect who missed our scheduled demo call yesterday but previously expressed interest in our automation features"
For proposals, "Develop a one page executive summary for a prospect who is comparing us against two competitors and is most concerned about implementation timeline"
Explain "Setting the scene with context"
Context is king. The more background you provide about your organization, team dynamics and current situation, the more tailored and useful AI's response will be.
Example, I lead a 40 person sales team selling HR software. We're entering Q4 and need to close 15 more enterprise deals to hit our annual target. Half the team is ahead of quota, the other half is struggling with longer sales cycles than expected. Leadership wants AI integrated into our sales process, but we can't agree on where to start"
Process "Charting the course"
When you need AI to follow a specific workflow or include specific output headings / sections, outline the process step by step
Example, To create this proposal for our enterprise prospect
Start with their three stated priorities and how our solution addresses each one.
Provide concrete metrics showing similar customer results (I'll give you the data) but you should ask if anything appears to be missing or needs more context.
Address two main concerns they raised, implementation timeline and integration with their existing tech stack
End with our recommendation for a phased rollout, including pricing options and risk mitigation.
Aim "Clarifying the end goal"
Aim is one of the most valuable elements in a prompt and often the ones that's missing. Sharing this in a prompt can drastically guide tone and approach for the AI. What's the actual outcome your trying to achieve? Initial ideas or polished final version? Being explicit about your aim helps AI pick the best words, depth and structure.
Example "My goal is to get this prospect to agree to a pilot program. This isn't about closing the full deal yet, just getting them comfortable enough to test our solution with one team before expanding company wide"
Restrictions "Settings requirements and boundaries
Think of this element as articulating anything you definitely DO or DO NOT want the AI to do. This includes specifying tone, length, format constraints, concepts to include and what to avoid.
Example " Keep the proposal under five pages, since this prospect prefers short, focused documents. Avoid AI buzzwords like transformational or revolutionary"
Examples "Showing is better than telling"
Providing samples of what you expect gives AI a clear model to follow. Whether it's your communication style, a successful memo, or a board report structure you liked. Examples crystallize expectations better than descriptions alone. Example, Our top representative starts discovery calls by asking about business impact before diving into features. Match that approach for these discovery questions.
Discuss "The art of iteration" Getting great results requires back and forth refinement. Give feedback, ask for revisions, or request explanations of AI's choices. Example, Explain your reasoning. Why lead with ROI instead of implementation speed? I need to understand the logic before sending to this prospect.
Conversion Analysis, AI Insights from your sales calls
Conversion analysis tools listen to and analyze your sales calls. They pick up on themes, sentiment, buying signals, objections and competitive mentions. I'll be mentioning those tools below for your reference, there are three such tools.
'Tools like fathom, fireflies or otter.ai can record a sales call and highlight moments where your prospect shows interest, raises concerns or mentions competitors. You can use these insights to refine your pitch and improve your close rate
